SRQ Special Board Meeting

May 17, 2010

 

Members Present:         Phil Bender, Paul Jantzen, David Speed, Al Jensen, Vince Veltri and  Charlie Allen

 

Members Absent:         Neil Hansen

 

Guests:             None

 

The meeting was called to order by President Bender @ 7:00 P.M.

 

This special meeting was called to form the language to be used in a proposed rule change.  This rule change will be presented to the membership at the May member meeting.  After much discussion and suggestions, the Board assigned the responsibility of the final language to Al Jensen and Paul Jantzen.  The final language will be approved by the Board by E-Mail and will then be presented to the membership at May’s meeting.

SRQ Board Meeting

May 10, 2010

 

Members Present:         Phil Bender, Paul Jantzen, Neil Hanson, David Speed, Al Jensen, and Vince Veltri.

The meeting was called to order by President Bender @ 7:00 P.M.

 

President’s report:  The County is not done with the work near our field.  The field will be closed again from May 17th thru the 21st.  The contractor doing the work has been driving on our runway and on the grass on the North side of the runway and on our grass runway.  The County has been contacted and promises that the contractor will repair any damage.  The CLOSED sign is being changed to reflect the new dates of the field closing.

 

The next Membership meeting is the celebration of our 10th anniversary.  Cold soda will be provided along with a cake and maybe other food as well.  The new name tags will be given to all the members present.  Steve Petitto will distribute the tags at the meeting.

 

Secretary’s report:  None

 

Treasurer’s Report:  Treasurer Hanson reviewed the April financial report with the board. The purchase and installation of the fans was determined to be a Capital expense.  This changed the report as the funds will now be removed from the Capital Reserve Account.  The report was modified and then accepted into the records as presented. 

 

Neil presented a budget vs. actual report as of April 2010. The report was presented in order to see how we are performing against the budget 1/3rd of the way through the year.  This was an informational report only.

 

Neil also showed the Board the IRS form 990-EZ which is a required annual report for our club. This was an informational presentation.

 

Old Business:  The ramp on the East side of the maintenance building is in need of replacement.  A motion was made to authorize Dick Bobb to spend up to $250 to replace the ramp. The motion passed.

 

New Business:  The letters to the County requesting the lease extension and the changes to the lease that will allow AMA members to fly at our field have been written and signed by the President.  They will be sent by registered mail to the County by the Secretary.

 

 

The Board received a letter from Roger Lockwood advising them of a safety rule violation that occurred on April 26, 2010.  A guest at the field violated several club rules (flying out of the fly zone and taxing in the pits).  The guests indicated they were not made aware of the club rules, flight restrictions, etc.  After much discussion, it was determined that there was, in fact, a rule violation. It was also determined that there is not a rule that requires a member to be at the field when a guest is flying.  Board member Vince Veltri will speak to the offending member who hosted the guests.  The Board will make a recommendation as to rule and/or by-law changes that will tighten and clarify club member’s responsibilities when guests are at our field.  A response letter to Roger Lockwood will be drafted thanking him for his involvement in this issue.

 

A group called the Summers Mom’s Group would like to come to the field for a few hours.  Al Jensen will coordinate the visit.  The Tabernacle Summer Camp will return for a visit to our field on June 9th.  Phil Bender will coordinate the event.

 

The last of the club trainers was sold by Al Jensen.

 

The caterer that we have been using has told the Board that he will not do any future events because it has not been a profitable venue for him.

 

There are currently 278 members.  The meeting was adjourned at 8:27 PM.

Membership Meeting April 28, 2010

Twin Lakes Park, Sarasota, FL

 

Meeting was call to order @ 7:05 PM by President Bender.  He then led us in the Pledge of Allegiance.

 

There were 33 members present.  

 

New members or guests:  None

 

Next month’s raffle prize is an ESM Spitfire from Troy Built Models. As a result, a short video of a Spitfire was shown. George Jenkins then showed the actual raffle prize for May.

 

Announcements:

 

May 20 is the 10th anniversary of the club being at its current location. To celebrate this occasion, there will be many raffle prizes next month. In addition, there will be food for all in attendance.  Bring you spouse and come celebrate our anniversary!

 

President Bender announced that the field will be closed May 3 to May 8 for maintenance by the county.  No admittance to the field is permitted.  This information will be posted on the web site, and an E-Mail will be sent to all members as well.

 

The county has been finding some of our chairs past the North side of the berm.  Apparently, some kids are using our chairs for parties and not bringing them back.  In addition, people are coming from the North bike trail and are walking across our leased land in our fly zone.  As a member, you have the authority to challenge anyone who is on our land.  Be polite, but firm.

 

On Monday, April 26th, there were guests flying at our field. They claimed they were guests of a member of our club.  The hosting member was not on site. The guests were flying out of the fly zone and were taxing their aircraft in the pits. When confronted, the guests indicated that no one had ever explained that there were any flight restrictions, nor were any of the club rules explained. These guests could cause us to lose our field. The hosting member MUST be present and is responsible for the guests. The Board will address this item at the next Board meeting and report to the membership.

 

A solo certificate was issued to Jamie Sullivan.  His instructor, Paul Jantzen made the presentation.

 

President Bender presented to the membership a name tag that had a set of wings with the name of the club and a member’s name. The Board wants to give each member and all future members a personal name tag to celebrate our 10th anniversary. The board needs approval from the membership as the total costs exceeds the Board’s limit. Treasure Neil Hansen discussed where the money could come from. The money received from the Scalemasters is money in excess of the budget. This money has its own line item as there is no budget item assigned to it.  The amount in this line item exceeds the cost of the name tags. Further discussion on this item will be done under New Business.

 

 

A motion was made and seconded to accept last month’s minutes as published. The motion passed.

 

Treasure Hansen presented the financial report for April.  A motion was made and seconded to accept the report as presented.  The motion passed.

 

Chairman reports:

 

Safety chairman Holloman reported on a safety concern.  The use of both runways (grass and paved) at the same time may present a safety issue.  It is difficult, if not impossible, to hear communications from people at the East end of the field who are using the grass runway.  After much discussion, it was advised that pilots using the grass runway should have a qualified spotter. It would be the spotter’s responsibility to communicate with the pilots on the main runway.  It was pointed out that the spotter needs to pay attention to what is going on and not just stand next to the pilot and shoot the bull.   Jim also thought the helicopters should fly in the same area as fixed wing. After discussion, it was determined to have the helicopters fly from the same position as the fixed wing pilots.  Common sense, communication, and sharing the flight line will allow safe flying of different aircraft.  Jim reminded members that 3D flying should be performed over the grass at the North side of the runway, not over the runway itself. As an additional item, Jim reminded the members that the run up pad is at the East end of the field.  Do not run, break in engines, repair engines, or perform excess “tweaking” at the start up stations.

New business:

 

A motion was made and seconded to purchase name tags for all existing members and all new members.  Price for the tags is not to exceed $1,300 for the existing membership. The motion passed.

 

Show and Tell:

 

Steve Jahn from Hobby Marketplace made a presentation on helicopters. Steve brought many helicopters, mostly electrics, and showed the membership the evolution of small helicopters.  He showed the entry level small counter rotating helicopters up to larger ones with tail rotors. Steve flew one of the small electrics around the front of the room.  Hobby Marketplace was generous enough to give a helicopter to the club for the raffle.

 

Phil announced that we will have our Annual Family Picnic and Awards on Oct 9. 

 

Paul Jantzen announced that there is a swap meet at the Sarasota Farm Bureau on May 22.  The Farm Bureau is located at 7289 Palmer Blvd. in Sarasota. 8 AM until Noon.

 

Raffle:  Conducted by Bill Kimbrell. Three helicopters were raffled off. The winners were Jim Holloman, Roger Niolet, and Brad TerMatt.
